ASSIGN MULTIPLE CONTACTS TO YOUR SUPPLIERS AND CUSTOMERS
It may happen that your customers and your suppliers have several contact persons within their respective companies. With the new version 11.1 of Dynacom Accounting, you can now record an unlimited amount of these contacts. These contacts will be available from the customer and supplier maintenances under the Contact tab.
Not only can you record multiple contacts for your suppliers and customers but also, you can specify a secondary contact when producing a sales transaction (invoices, orders, etc.) or a purchase transaction (order, item receipt with bill , etc.).
Adding a contact
To add multiple contacts to a customer (or a supplier), complete the following procedure:
- Open the Customer maintenance (or Supplier maintenance) Maintenance / Receivable - Sales and select the desired customer
- Click the Contact tab
- Click the Edit button (small pencil) located near the Contact name and enter a contact name and save it
- Repeat this last operation to enter a second contact
- Click the Search button (small magnifying glass) and select the contact who will act as the primary contact for this customer (or supplier)
Changing a contact
To assign a contact to a customer other than his primary contact when creating an invoice, complete the following procedure:
- Create an invoice using a customer with several contacts
- In the Sold to section, click the Search icon
- Select the Customers – Contact option and then choose the contact you wish to use
Deleting a contact
Please note that it is not possible to delete a contact that is identified as the primary contact for a customer or supplier. If you still want to delete such a contact, you have two choices:
- Create a new contact that will replace the primary contact and then delete the first contact
- If the customer/supplier has a minimum of two contacts, uncheck the Main contact option from the contact file you want to delete
